Three separate costs
A WhatsApp chatbot has three kinds of cost, and most confusion about pricing comes from mixing them up.
- The build: designing the conversation, writing the bot logic and connecting it to your CRM, sheet or inbox. This is usually a one-time project cost.
- Meta's messaging charges: WhatsApp Business Platform fees that Meta charges for certain messages.
- Platform or hosting: either a monthly subscription to a WhatsApp provider, or the server that runs a custom bot.
How Meta charges for messages
Since July 2025, Meta charges per delivered template message rather than per 24-hour conversation. Template messages fall into three categories, each with its own rate per country: marketing, utility (such as order updates and reminders) and authentication (such as one-time passwords).
Replies you send while a customer service window is open, which starts when the customer messages you, are not charged. Utility templates sent inside that window are also free. Conversations that start from a Click-to-WhatsApp ad get a longer free window.
This means a bot that mostly answers incoming enquiries costs very little in Meta fees, while a bot that sends a lot of marketing broadcasts pays for every message. Rates differ by country and change from time to time, so check Meta's current rate card for India before you plan a broadcast-heavy campaign.
Provider subscription or custom build
Most businesses start on a WhatsApp Business Solution Provider: a platform with a monthly subscription that gives you a shared inbox, broadcast tools and a drag-and-drop bot builder. It is quick to set up and works well for standard flows.
A custom bot runs on your own backend and talks to the WhatsApp Cloud API directly. It costs more to build but suits flows a builder can't handle cleanly: qualifying leads with your own rules, looking up records in your systems, answering from your documents with AI, or handing chats to a sales rep with the full context.
The Gignaati project on this site is an example of the custom route: a Python and FastAPI backend that receives Meta webhooks from Click-to-WhatsApp ads, collects names and emails, offers budget-tier quick replies, tags the lead in the CRM and pauses the bot for 24 hours when a sales rep takes over.
What changes the build price
- Number of flows and branches. A three-question lead form is far simpler than a bot that handles bookings, FAQs and order status.
- AI answers. Answering free-text questions from your own content needs a knowledge base, testing and an honest fallback.
- Integrations. Each system the bot reads from or writes to, such as a CRM, Google Sheets, a booking calendar or an ERP, adds setup and testing.
- Human handoff. Routing chats to the right person, pausing the bot and keeping the conversation history.
- Languages. Supporting Hindi, English and Hinglish properly takes more testing than one language.
Keeping running costs down
- Let customers start the conversation where you can, for example through website buttons, QR codes and Click-to-WhatsApp ads, so most replies fall inside a free window.
- Use utility templates for genuine updates and keep marketing broadcasts targeted.
- Answer common questions automatically, and hand off to a person only when it adds value.
- Log every conversation and lead so you can see which messages actually produce enquiries.
Getting a quote
Kriyvo AI publishes fixed prices: a WhatsApp AI chatbot with Business API integration, AI replies, lead qualification and human handover is ₹4,999, delivered in 2 to 4 days. WhatsApp API setup, provider fees and Meta messaging charges are extra where they apply. To scope a larger bot, describe what customers usually ask, what details you need from them, where leads should go and who takes over the chat.
